Who Were Looking For -Reporting to the Associate Director, Retail Operations, we are seeking a Retail Sales Operations Coordinator to manage the full purchase order lifecycle from receipt to invoicing, ensuring timely and accurate processing. The ideal candidate will have experience in coordinating with internal teams, third-party logistics (3PL), and suppliers to resolve fulfillment issues, maintain inventory records, and manage documentation through EDI and Excel systems.

Responsibilities:

  • Manage the end-to-end purchase order lifecycle, including order receipt, acknowledgment, tracking, fulfillment, and invoicing
  • Communicate orders to the internal team and Third-Party Warehouse team (3PL)
  • Review Purchase Orders to ensure all required info is present and accurate
  • Enter Purchase Orders into Excel worksheets via EDI loading or manual entry
  • Submit orders to 3PL and internal teams for routing and shipping
  • Follow up on 3PL to ensure proper paperwork on orders is submitted
  • Perform various tasks to ensure orders are shipped and received
  • Preparing the proper order fulfillment documentation, such as invoices, packing slips, and labels
  • Coordinate with warehouse staff, shipping companies, and suppliers to ensure timely and accurate delivery of orders
  • Update order status and tracking information in the system
  • Resolve any issues or problems that may arise during the order fulfillment process, such as delays, cancellations, damages, or returns
  • Maintain inventory records and implementing restock procedures for faster order fulfillment
  • Invoice using the EDI system
  • Other duties as required

Qualifications:

  • Proficient in managing the complete purchase order lifecycle, from order receipt to invoicing, and ensuring accurate and timely processing
  • Ability to collaborate effectively with internal teams, third-party logistic warehouses (3PL), and suppliers to ensure smooth order processing and resolution of fulfillment issues
  • Experience in entering and processing purchase orders via EDI systems or manual Excel entry for seamless data management and invoicing
  • Ability to address order fulfillment challenges, including delays, cancellations, inventory issues, or returns, while maintaining efficient communication and resolution
  • Proven ability to maintain accurate inventory records, prepare order documentation (invoices, packing slips, labels), and implement restocking procedures to streamline order fulfillment
  • Experience in SPS Commerce, experience in retail, experience in PO management
