Job Description:

SUMMARY:

Performs daily workflow duties and balancing. Provides systems and process leadership as primary function.  Provides customer assistance with cash management, internet access/trust accounting software accessibility issues.  Works on tax processing annually as well as provides support for the Trust department.  Provides operational administrative support to the Trust department staff.  Performs simple to complex calculations required for trust accounting, income processing and trade settlement.  Assists with problem solving as it pertains to our client’s account management needs.

 

The salary for this role will be between $60,000 and $86,000. The specific salary offered will depend on several factors including but not limited to applicant’s skills and prior relevant experience.  Hired candidate may be eligible for healthcare benefits, 401K plan, short term & long-term disability coverage, life insurance, vacation & sick time, educational assistance, and several holidays.  Certain roles are eligible for additional rewards.


ESSENTIAL DUTIES AND RESPONSIBILITIES:




  • Become a system expert on the many platforms needed to run the operational side of the Trust Company as well as look for efficiencies, innovations and new ways to create ease of doing business.



  • Represents Riverview Trust Company in relationships with system vendors, internal partners and clients.





  • Handle complex questions and requests by clients within area of knowledge.



  • Complete various administrative duties (i.e. compose letters, set up and maintain filing system, distribute reports, follow-up, etc.) with and without supervision.



  • Prepare and file annual and quarterly reports as required.



  • Maintain value and records on Trust Assets.



  • Process income on assets; confirm trades and process settlements with limited supervision.



  • Pay recurring and one-time only bills from client accounts.



  • Deposit recurring and non-recurring cash items to client accounts.



  • Responsible for daily processing and balancing, and initiating money movement, wires, ACH transfers, etc.



  • Process and/or route information for clients and accounts, such as address changes, special instructions, report requests, etc.



  • Type routine correspondence such as letters of authorization, letters of withdrawal, letters of deposit, etc. as requested by Administration and keep “follow-up” copies to assure return of necessary items.



  • Verify Operations daily work for accuracy and refer issues to Operations Manager as necessary.



  • Set up, maintain and delete ticklers, recurring checks, recurring items, etc. as directed.



  • Follow-up on outstanding scheduled receipts and disbursements, transfers, loan payments, etc.



  • Process closed accounts for Operations Department.



  • Balance various external and internal accounts used by Trust Company as assigned, such as custody accounts, mutual fund accounts, Trust Checking account, etc.



  • Retrieve & compute daily money market fund rates for investment sweep purposes and send e-mail to appropriate employees each morning.



  • Retrieve, compute, balance and input daily money market factors for monthly dividend calculations as needed.



  • Make recommendations to manager/supervisor about possible methods to improve department.



  • Make recommendations to manager/supervisor about the budgetary needs of the department.



  • Tax processing liaison with our providers.



  • Securities movement between firms as needed and on an ongoing basis.




Additional Duties and Responsibilities:



  • Assist with special projects within Trust Department.



  • Provide periodic administrative support to other departments in the branch/bank as they may pertain to Trust, specifically in an operational focus.



  • Provide full back up to Trust team and help as requested with daily or monthly processing.





  • Be alert for and report any potential new business or potential business opportunities.



  • Participate in and complete training objectives with passing scores.



  • Follow all Riverview policies and procedures.



  • Oversee preparation of trust bank reconcilements.



 

RELATIONSHIPS:



  • Regular contact with Supervisor and client facing staff.



  • Daily contact with Trust Department staff, compliance and audit, to receive direction and interpretation of new and existing procedures.



  • Daily contact with customers and prospective customers in operational and cash management matters and providing assistance in the receiving area.



  • Will have extensive contact with customers and the public, and is to conduct relationships in a manner that will enhance the overall marketing effort of the Trust Company and Bank.



  • Will be called upon from time to time to participate with community organizations and in community projects.



  • Daily interfacing with outsourced operations vendors.



  • Periodic interfacing with contra-firms for securities movement.




QUALIFICATIONS:

EDUCATION and/or EXPERIENCE:

Bachelor’s degree (BA) from a four-year college or university preferred, and/or A.A. and three years prior experience in trust related business, accounting or operations, or a combination of education and related experience. 


SKILLS:



  • Ability to read and interpret documents such as operating and maintenance instructions and procedure manuals.



  • Ability to write routine reports and correspondence.



  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization in a professional manner.



  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.



  • Ability to compute rate, ratio, and percent.



  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.



  • Ability to deal with problems involving several concrete variables in standardized situations.



  • the basic skills associated with the general use of computers and other business office equipment;



  • Proficient in MS Office software and can adapt quickly to use of Department-specific software.



  • Excellent organization, attention to detail, and prioritizing ability



  • Ability to offer flexibility in a changing work environment is imperative.
