This position provides Executive Assistant level support for two or more Senior Executives that directly report to the CEO. Provides functional admin back-up support to other ELT areas as required by the business. Work requires a high level of administrative support, organization, and communication skills. Discretion with highly confidential matters, as well as prioritization and efficient, error-free execution of complicated project management.

(This is an executive admin role and office presence is important. This role offers some flexibility: in-office four days, with one day work remote flexibility.)What you'll be doing


  • Maintains comprehensive administrative management of multiple senior executive's business requirements in an orderly, professional, and efficient manner. Coordinates and facilitates meetings, events, and functions with required stakeholders.

  • Enables a high level of productivity and results within the assigned executive areas by managing and organizing meetings, schedules, and key events.

  • Prepares, reconciles, and submits expense reports timely for assigned areas.

  • Manages all PO/invoice and related processing needs as required for the functional area.

  • Arranges business itineraries and coordinates travel, work schedules, dinner meetings, staff events, and other ELT assigned projects end-to-end.

  • Coordinates executive meetings, records minutes, and maintains permanent records.

  • Maintain confidential files regarding personnel, prospective acquisitions, and projects.

  • Manages incoming and outgoing mail ensuring timely delivery and notification.

  • Composes correspondence and reports for Senior Executive approval. Prepare communication outlined by Senior Executives in oral or written directions.

  • Maintain filing and record management systems and other office flow procedures.

  • Maintains up-to-date procedure manual for the specific duties handled on the job.

  • Researches and consolidates information in preparation for meetings, work projects, and reports. Correlates and edits materials submitted by others. Maintains follow-up files and procedures to work more efficiently.

  • Provides core back-up to other administrative assistants and assists where assigned.

  • All other duties and special projects as assigned by ELT.

What you'll bring to the table


  • High School Diploma. Associate's degree preferred.

  • Ten years professional administrative experience supporting senior management.

  • Excellent technology skills, including the Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel, Microsoft Outlook (e-mail).

  • Exceptional writing, editing and proofreading skills

  • Strong organization and time management skills

  • Good verbal communication skills with proficient use of diplomacy, discretion, and judgment.

  • Ability to read and interpret documents. Ability to write routine reports and correspondence.

  • Ability to speak effectively before groups of customers or employees of organizations.

  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
