Job Description:

Duties:



  • Performs administrative support-oriented jobs such as reviewing documentation for accuracy and completeness, printing and processing paperwork, scanning, maintaining office files, and performing other duties to support the Faculty Affairs Office and Office of the Senior Vice President and Provost.

  • Intake, Log, and Perform Preliminary Review of Documentation. Preliminary review consists of ensuring documents are fully complete and accurate, including having the appropriate support documentation.  Faculty paperwork includes but is not limited to Faculty Action Requests (FARs), Faculty Appointment Letters (PTFAs, OFAs), Emeritus Requests, Modifications, and Nepotism Waivers.

  • Maintain Faculty Appointment Log and Other Tracking. Document in real time the status of faculty appointments as the faculty appointment and modification paperwork moves through the various stages of review, revision, and approval. Create and maintain tracking tools for various projects. Create and run reports from tracking systems as assigned.

  • Back-up to Senior Administrative Support Specialist: Provide general support; manage front desk/conference room responsibilities during as needed.  Meet back-up responsibilities for phone duties. May also provide back-up to other team members of the Office of the Senior Vice President and Provost.

  • Faculty file scanning. After a faculty hiring or modification is complete, develop e-file for faculty member including printing epaf screens from PeopleSoft and other appointment documents.

  • Other duties as assigned.

Required Education: High School Diploma or GED, AND:



  • 12 months office, clerical or administrative experience.


Skills:




  • Working knowledge of general office procedures. 


  •  Knowledge of Microsoft Office Suite (Outlook, Excel, and Word).

  • Excellent interpersonal skills.

  •  Ability to work as a team member.

  •  Ability to complete tasks in an efficient and timely manner and to meet assigned deadlines.

  • Detail oriented and strong work ethic.

  • Ability to prioritize and manage multiple projects at once.     

  • Ability to communicate effectively and professionally, both verbally and in writing.


Advertised Physical Requirements:




  • Physical: Sit for prolonged periods.  Use of a computer.  Manual dexterity.  Communicate effectively. Engage in repetitive motion.


  • Environmental: Standard Office Environment
