Description The Director of Continuing Education (CE) works with the Southern California College of Optometry (SCCO) Dean, the Senior Associate Dean of Clinical Education and Professional Affairs, and Faculty CE Director to plan schedules, develop programs, secure instructors, market, sell, budget, secure vendor support, and implement the diverse range of CE programs.ESSENTIAL DUTIES AND RESPONSIBILITIES
Collaborates and directs operations of SCCO's CE programs, including synchronous, asynchronous, and affiliated CE programs.
Is current on required standards and delivers programs that meet licensure requirements for the profession.
Collaborates with other departments on campus to deliver programming, such as but not limited to: Residency Affairs, Multi-media Services (MMS), Marketing and Communications (MarCom), Clinical Education, University Advancement, Campus operations, and Special Events.
Addresses inquiries from internal and external parties in relation to CE activities

Review and prepare yearly schedules, webpages, online offerings and other appropriate documents
Develop and/or maintain standard operating procedures (SOP) for recurrent CE related tasks
Facilitate the design and collaborate effectively in the development of CE courses, programs, and materials in a variety of presentation formats, including interprofessional offerings, to support unique teaching and learning
Coordinate registration for programs and workshops
Accurately enter registrations into a database for all forms of registration for CE courses
Utilize technologies and evaluates workflow to streamline processes of course registration, enrollment, payment, reconciliation, and transcripting/certificates
Prepare and collect educator and vendor contracts to establish a schedule of courses, participants, times, and dates
Ensure compliance with requirements of accrediting agencies (eg, COPE, California Board of Optometry)
Understand multi-state board professional regulations to advise program participants regarding licensing requirements
Maintain CE records in compliance with all licensing agencies and affiliation requirements
Work with University Advancement to secure data for outreach to college alumni via email and mail
Maintain relationships with lecturers and supporting vendors, attends pertinent committee meetings, and conferences
Design and create credit letters, certification/activity documents for all programs and courses
Use a database and various spreadsheets (eg, Excel) to create and tabulate all programs data, financial results, attendance summary reports and various reports
Utilize a survey model for CE program results and reports after CE events
Handle daily accounting deposits checks, credit cards, CE credits and online credit cards through the Accounting Department
Maintain and review financial documents to develop and contribute to department budge
Attend Continuing Education events on weekends (up to two a weekend in the same month)
Prepare nametags, maps, hand-outs, and electronic manuals for CE programs
Set-up coordination for CE events including registration table, providing various clerical materials, and work with campus event planners for outside catering companies.
Maintain confidentiality of all contracts and registration information
Promote diversity, equity, and inclusion in the workplace and our CE programs
Demonstrated competencies with PCs and associated software and be able to utilize computer technology to access data, maintain records, generate reports, and communicate with others (eg, registration system, Basecamp)
Proficiency in MS Excel, MS Word, and MS PowerPoint is required; Adobe Pro and DocuSign document development recommended
EDUCATION AND/OR EXPERIENCE
Bachelor's degree in Education, Business, Communications, Marketing, or a related field
Minimum of five years related work experience to include but not limited to event planning, business, sales, and/or instruction of students.

WORK ENVIRONMENT The work environment characteristics described are representative of those an employee encounters while performing the essential functions. This position is eligible for a hybrid work schedule.Duties are typically performed in an office setting with normal working conditions, most of which are in an educational institution environment. Duties may also be performed at other facilities where University functions are occurring.FLEXIBLE SCHEDULEMost continuing education (CE) programs take place on Saturday and/or Sunday, several months throughout the year. Occasionally, program(s) are held during the week, in the evenings, on or off campus. Some events will require travel to destination venues.
