JOB SUMMARY

Responsibilities include providing clerical and administrative support to the winery operations by greeting customers/visitors, answering phone calls, generating, and tracking purchase orders, creating SOPs, budgeting and record keeping. Interface with Accounts Payable, Human Resources, Operations and Maintenance to maintain and ensure compliance with site regulatory requirements. Ideal candidates will have 2+ years of administrative experience, ideally supporting a manufacturing operation.

 

ESSENTIAL FUNCTIONS


  • Interact and effectively communicate with all personnel, vendors, contractors, and peers in a team environment.

  • Correspond and/or communicate with Export customer’s proof of delivery.

  • Creating and receiving POs.

  • Track monthly spend by cost center.

  • Assisting cellar with inventory control.

  • Provide operational reports as directed by Ops Manager.

  • Collect and report monthly KPIs.

  • Assisting in recorded keeping of monthly tailgates.

  • Ability to price items if needed with vendors and to renegotiate existing items for additional savings.

  • Follow up on all open purchase orders, verify shipments.

  • Provide Maintenance reports as directed by Maintenance Manager.

  • Create Maintenance work order schedules.

  • Work with TWG IT to streamline Maintenance’s reporting systems.

  • Work independently with minimal direct supervision.

  • Ensure all purchase orders have appropriate documentation, packing slip and receiving receipt, COA.

  • Perform safety and/or environmental inspections as assigned.

  • Support and model all company procedures and policies.

QUALIFICATIONS


  • Must be 18 years or older at time of hire.

  • 2+ years of administrative experience, preferably supporting a manufacturing operation.

  • High School Diploma or equivalent.

  • Must have a valid California Driver’s License and be able to drive for the organization.

  • Must have a well-developed attention to detail, including ability to keep accurate records.

  • Proficient computer skills, i.e., MS Office (Microsoft Outlook, Word, Excel, PowerPoint), JDE, etc.

  • Must be able to read, write and speak English, comprehend, and carry out verbal and written instructions. Speaking Spanish is a plus / preferred.

  • Possess excellent verbal and written communication skills in English. (Doing so in Spanish is a plus).

  • Must pass a pre-employment physical and drug screen.

PHYSICAL DEMANDS


  • Possess the ability to work in a fast-paced production environment.

  • Working environment may be both indoors and outdoors, with exposure to related equipment and noise levels.

  • Ability to perform tasks requiring bending, stooping, standing, and twisting in the storeroom environment.

  • Must be able to lift and carry weights of up to 50 pounds at varying frequencies.

COMPENSATION


  • Hourly Pay Range Posted: $21.01 - $31.49/hr.

  • Actual compensation will be based on factors such as experience; skills, knowledge, and abilities; education; and other position related factors.
