Role:
The Customer Operations Warranty Specialist communicates with customers to review orders and expectations, prepare warranty documents, submit paperwork to the manufacturer, and track requests to ensure the vendors receives payment for all warranty work completed. If a claim is denied, you will resubmit it and follow up to seek approval. Additionally, you will be responsible for scheduling warranty appointments, coordinating with vendors for replacement parts, and staying informed about factory recalls and announcements.

Essential Duties and Responsibilities:
Reviews and processes warranty claims, ensuring compliance with program guidelines
Tracks and maintains warranty data for all products
Coordinates with vendors, suppliers, and customers to resolve warranty issues
Prepares and processes warranty documentation according to manufacturer guidelines
Communicates with manufacturers to ensure proper processing of claim
Builds and sustains positive relationships with clients
Promptly addresses customer inquiries and requests through phone or email
Completes assigned tasks in a safe, accurate, thorough, and alert manner
Achieves the specified performance goals
Upholds Company policies and procedures
Works in a professional manner with managers, supervisors, coworkers, customers, and the public
Other related duties as assigned
Qualifications
Education and Experience:
High School Diploma or equivalent required
Associate's Degree preferred
At least three (3) years of related experience required
Previous experience in HVAC Industry or other service business preferred
Required Knowledge, Skills, and Abilities:
Excellent listening skills
Excellent data collection and analysis skills
Strong communication skills, both verbal and written
Strong attention to detail
Proficiency in Microsoft Office and Excel
Proficient in the tools, techniques, and principles of training and quality assurance
Ability to read and follow directions, stay organized, and work effectively in a fast-paced, team-oriented environment with a flexible schedule
Physical requirements:
Continuously able to work in office environment
Continuously able to operate a computer and other office productivity machinery, such as a copy machine, telephone, and computer printer
Continuously able to sit at a computer for up to 8 hours
Able to alternate between sitting and standing, as needed throughout the day
