Position Overview:
We are seeking a highly organized, detail-oriented, and proactive Executive Assistant to support the CEO of QED Technologies on a part-time basis. This role is critical in helping the CEO stay organized, focused, and efficient in managing day-to-day operations, strategic projects, and company initiatives. The ideal candidate will be comfortable handling confidential information, managing schedules, and communicating with high-level stakeholders.

Key Responsibilities:

  • Calendar Management:
    Manage and organize the CEO’s schedule, including meetings, calls, travel arrangements, and personal commitments.
  • Email and Correspondence:
    Monitor and manage the CEO’s inbox, responding to or flagging important messages, drafting correspondence, and ensuring timely follow-ups.
  • Meeting Coordination:
    Arrange and prepare materials for meetings, including drafting agendas, taking minutes, and following up on action items.
  • Travel Arrangements:
    Coordinate domestic and international travel for the CEO, including flights, hotels, and ground transportation.
  • Project Support:
    Assist with special projects, including research, preparing presentations, or compiling reports for internal and external meetings.
  • Confidential Support:
    Handle sensitive and confidential information with the utmost discretion and professionalism.
  • Office Coordination:
    Interface with internal teams, external partners, and board members to ensure smooth communication and efficient task execution.

Qualifications:

  • Proven experience as an executive assistant or in a similar administrative role supporting senior executives.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to prioritize and manage multiple tasks efficiently.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and handle sensitive information with discretion.
  • Familiarity with technology and interest in the optics or manufacturing industries is a plus.

Working Hours & Flexibility: This is a part-time role with flexible hours. While most work will be conducted remotely, there may be occasional in-person meetings or events, which require the executive administrative assistance to be on site at our Rochester, NY office (at 1040 University Avenue, Rochester, NY 14620)
