Primary Purpose:

As a Project Coordinator, you will facilitate the transition of projects from sales to execution, ensuring effective communication and adherence to timelines. Responsibilities include overseeing project handoff meetings, monitoring project status, and managing administrative tasks. Your attention to detail will be crucial in reviewing contracts, maintaining tracking spreadsheets, coordinating stock releases, and managing financial documentation. Your ability to resolve discrepancies and maintain accurate records will support our project management processes. Job Responsibilities:

  • Oversee and facilitate project handoff meetings from the sales team to the project management team, ensuring comprehensive communication of all pertinent information and smooth transition for the project's execution.
  • Collaborate with project managers, electricians, construction contractors and others to determine specifications for EV charging station projects.
  • Coordinate with the Project Managers to ensure jobs are scheduled appropriately and pertinent information is communicated accordingly.
  • Assist with project closeouts (documentation, updating CRM), submit grant paperwork, and provide a best-in-class experience to our customers.
  • Keep in constant communication with internal admin and project management teams to ensure all tasks are handled in a timely fashion.
  • Compose and send weekly Ops Report to recipients across the organization.
  • Monitor and maintain real-time updates on project status, proactively following up with project managers as necessary to ensure timely progress and adherence to project timelines.
  • Thoroughly review contracts for accuracy and completeness before transitioning them from the opportunity stage to active project status.
  • Maintain CRM database to reflect project progress.
  • Develop and manage a comprehensive project management tracking spreadsheet to monitor job status and facilitate financial forecasting.
  • Coordinate stock releases from Massachusetts warehouses and manage the allocation of level 3 charging stations located in Wisconsin to support project needs.
  • Review, prepare, and organize invoices and purchase orders for thorough review and approval by relevant stakeholders.
  • Manage inventory assignment to projects and maintain up-to-date status records to ensure accurate project tracking.
  • Track purchase orders and diligently follow up to facilitate seamless procurement processes.
  • Conduct research to identify and resolve any discrepancies in invoices, ensuring accuracy and consistency in financial documentation.
  • Maintain comprehensive job records to ensure all project-related information is organized and easily accessible for reference and reporting purposes.

Experience and Qualifications:

  • Proven experience in project coordination or related roles, demonstrating strong organizational and communication skills.
  • Proficiency in using project management tools and software for tracking and monitoring project status.
  • Excellent attention to detail and ability to review contracts and financial documents with precision.
  • Strong analytical and problem-solving skills to effectively resolve discrepancies and ensure accurate financial records.
  • Experience using spreadsheets (e.g., Microsoft Office Excel, Google Sheets) and Word-processing applications (e.g., Microsoft Office Word, Google Docs).
  • Experience using CRM (Salesforce).
  • Experience developing and delivering client-focused, creative and achievable solutions.
  • Excellent written and verbal communications skills.
  • Ability to analyze and resolve problems independently.
