Role Summary

In this highly visible position, you will assist one or more senior leaders and/or managers. This individual will need to be highly initiative-taking, adept at time management, responsible for exercising confidentiality, tact, and diplomacy. Requires the ability to work autonomously as well as in a team setting. Provides thoughtful and tactful support by managing day-to-day coordination of their calendars, appointments, events, and hectic schedules. They will assist in gathering, researching, and creating agendas, correspondence, presentations and editing materials. Submit expense reports in a timely manner prepare domestic and global travel. They will act on behalf of the senior leader for ad hoc needs with internal and external clients, suppliers, and administrative peers across the firm.

Responsibilities:


  • Performs moderately complex and confidential administrative duties by leveraging the senior leader’s time that require considerable skill and knowledge of organization policies and procedures.

  • Schedule and coordinates calendaring/meetings/events to including logistic (prepare correspondence/agendas, meeting site, agendas, materials, security notifications, catering, virtual calls/in-person). Screen calls and visitors, coordinate travel arrangements and prepare expense reports in a timely manner.

  • Exercises moderate level of autonomy in troubleshooting issues as they arise and anticipates the needs of the person they support. Work is fast-paced and moderately complex.

  • Conducts moderately complex administrative assignments related to meeting, seminar, workshop, and/or conference planning, including material production; prep material packet compilation; scheduling; logistical arrangements; and consulting with participants, speakers, and vendors. Assists with special projects across multiple teams, including workstream participation.

  • May conduct research for senior leader(s); compiles, analyzes, and summarizes information for reports and correspondence. Compiles, reviews, and analyzes more complex data and keeps databases and share sites up to date. Provides accurate data and information to others on functional unit processes and procedures as requested.

  • Assist in special and ad-hoc projects related to the division and/or the department’s activities.

  • Work at times may be complex, sensitive, and highly confidential in nature.

  • Foster successful relationships through direct interaction with senior leaders, managers, and peers. Some projects may require the individual to take the lead role in managing the process.

  • Partner with management to build a collaborative working environment, exercising good judgment and professionalism.

  • Works collaboratively to ensure that seamless back-up support is provide to the managers and peers.

Qualifications Required:

  • Bachelor's degree or the equivalent combination of education and 3+ years of total relevant work experience

Preferred Skills:


  • Several years of demonstrated increasingly responsible work experience in a business environment

  • Proficient in the Microsoft Office Suite

  • Experience with SharePoint, internet

  • Strong Organizational Skills

  • Excellent in grammar, spelling, and communication skills

  • People skills to deal effectively and courteously with internal/external clients

  • Ability to manage multiple priorities and ensure timely and accurate completion of projects/assignments

  • Ability to be flexible and work under pressure

  • Possess a willingness to learn new areas and skills and opportunities as they arise

FINRA Requirements

FINRA licenses are not required and will not be supported for this role.

Work Flexibility

This role is eligible for hybrid work, with up to two days per week from home.

Base salary ranges:

$65,000.00 - $111,500.00 for the location of: California, New York
$57,500.00 - $98,000.00 for the location of: Washington, D.C
$52,500.00 - $89,000.00 for the location of: Colorado, Maryland, Washington and All other US locations

Placement within the range provided above is based on the individual’s relevant experience and skills for the role.  Base salary is only one component of our total compensation package.  Employees may be eligible for a discretionary bonus, which is determined upon company and individual performance.
