SSOE Sponsored Projects Specialist



This position serves as a central resource within the Swanson School of Engineering (SSOE) in all matters relating to the sponsored project lifecycle. Direct support is provided to three departments and additional smaller units (e.g., service centers) totaling approximately $20-$25M in annual research expenditures. Specific responsibilities include working with faculty to prepare research proposals, including budgets, and providing assistance with proposal submissions to sponsors, as well as providing oversight of an awards portfolio from activation to closing of an award.

SSOE SPO has 2 PODs of departments, and this position will handle proposals from both PODs which includes a vast array of sponsors. This position reports to the Director of the Sponsored Projects Office (SPO) within the Office of the Associate Dean for Research.

The amount of supervision received by the employee: Minimal supervision. Individual must function largely independently. Issues with securing information from PIs for proposal submission or responses to faculty will be addressed as they arise. Periodic training sessions will be provided. Routine meetings with the Director and other SPO management will allow for clarification of issues, changes to processes, and other administrative changes.

The analytical skills required: Works independently to assess complex contract and grant proposal requirements. Proposals have diverse scopes requiring a thorough understanding of complex guidelines and regulations. Both pre-award and post-award require clear, accurate interpretation and communication of information, ideas, and instructions both verbally and in writing.


Job Summary

Performs pre- and post-award accounting duties for complex grants and contracts. Prepares, negotiates, and monitors grants, contracts, and budgets. Maintains award-related schedules, prepares complex government applications and reports, and interprets policy and procedure. Monitors account activity, performs internal audits, resolves complex issues, and reviews routine financial documents. Develops and implements accounting techniques and procedures for operational improvements and assists with managing special projects and preparing operating budgets.


Essential Functions

Ability to handle such things as a telephone, computer, paper, and pencil. Ability to speak clearly and to hear well. High level of writing and reading skills. Ability to effectively communicate through telephone, email, and essential use of computer applications such as Microsoft Office programs, University electronic processes including PERIS, COGNOS, PRISM, MyRA and PittWorx.


Physical Effort

Sedentary position. Must have ability to travel on and off campus for some meetings.
