Position Summary:
The Administrative Specialist III is responsible for coordinating office activities, researching and preparing special reports, and developing, revising, and recommending administrative policies and procedures as directed by supervisor. This position is governed by state and federal laws and institution policy.
Duties & Responsibilities:
Adhere to the vision and guiding principles of the Finance and Administration Division
Answer incoming calls to the Work Order Center Write service requests or work orders as required from incoming calls, emails, FAMIS self-service, or interdepartmental transfers, including walk-up customers within Facilities Management
A service request or work order requires collecting the following information: description of work to be performed, contact information of the requestor, building and room number of the location of the work, type of request, such as, general maintenance, signage, equipment, utilities, or duty and entering appropriate equipment numbers for work orders, routing work orders to appropriate crew(s), and verifying account numbers on work orders upon entry
Advise customers regarding procedures for requesting a service request and submitting IDT's, answer customer questions about charges on weekly billing including what the charges are, and the amount of labor and material being applied
Communicate with departmental supervisors and customers about any and all pertinent information as the need arises during an emergency situation
Enter equipment records and/or data into FAMIS for tracking costs associated with equipment
Assist in closing work orders when supervisors determine that they are complete, and verify that the correct account is charged
Run Oracle and/or Publisher reports as necessary
Provide administrative support to the Building Maintenance group, including initiating hiring processes, completing employee status forms, and budget transfers
Other duties as assigned
Knowledge/Skills/Abilities:

General Days/Hours:
Monday - Friday 8:00 a.m. - 5:00 p.m. Additional hours as requested and/or needed Regular and reliable attendance

This position is in daily contact with faculty, staff, administrators and students of the university as well as the frequent contact with the general public
Minimum Qualifications:
The formal education equivalent of a High School Diploma
One (1) year of specialized training in business management, business education, or a related field
Two (2) years of experience in specialized or a related field applicable to work performed
Other job related education and/or experience may be substituted for all or parts of these basic requirements, except for certification or licensure requirements, upon approval of the qualifications review committee
