Position Overview:


The Administrative Assistant acts as a liaison between field operations and office personnel. This position requires someone who is proficient in all aspects of data entry, paperwork tracking and reporting, & well versed in using spreadsheets. Provide administrative and clerical support to ensure the efficient operation of the office. Orders office supplies and organizes the front area of the office building. Answer phones and direct calls to correct contacts. Provide support to visitors in the office. This individual must be able to send emails, and distribute faxes, forms, and memos.


Essential Functions:

  • Ensure filing systems are maintained and current.
  • Answer telephones, direct calls and take messages.
  • Compile, copy, sort, and file records of office activities, business transactions, and other activities
  • Complete and mail bills, contracts, policies, invoices, etc.
  • Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems and personal computers.
  • Handle inquiries and incoming work requests.
  • Receive, sort, and distribute incoming mail.
  • Prepare and send outgoing mailings and packages.
  • Type documents and correspondence.
  • Monitor and order office supplies.
  • Keep office area neat and tidy.
  • Data entry such as creating, updating, and managing spreadsheets.
  • Works with Foreman to meet customers' needs.
  • 811 locate ticket entry and updates.
  • Work log and crew work schedule entry.
  • Inventory tracking and field paperwork distribution to and from the field.
  • Coordinates necessary street repairs.
  • Organizational and planning.
  • Time management skills and the ability to prioritize work.
  • Attention to detail and accuracy.

  • Communication skills - verbal and written.

Qualifications/Special Knowledge Skills

  • Ability to manage multiple priorities and to plan and organize work in observance of deadlines.
  • Strong communication (both written and verbal), editing and grammatical skills.
  • Superior organization skills: able to multi-task and prioritize responsibilities.
  • Ability to work independently and possess strong decision-making skills.
  • Must be self-motivated, able to prioritize multiple tasks, work under strict deadlines and exhibit a team player attitude.
  • Expert knowledge of Microsoft Office including Word, Excel, PowerPoint, and Outlook.
Education/Experience
  • High school diploma or GED.

While performing the duties of this job, the employee is regularly required to talk or listen. The employee is frequently required to stand, walk, use hands/fingers to handle or feel, and reach with hands and arms.
  • Prolonged periods sitting at a desk and working on a computer.
  • Able to walk, lift, reach, stoop, stand, grasp, balance, climb, kneel, crouch, and lift up to 15 pounds frequently.
  • Ability to travel as needed.
