Additionally, we provide Functional Service Provider (FSP) Solutions, supporting our clients with scientific and technical expertise, acting as an extension of their team, coordinating all laboratory related needs, advising on strategies for lab data collection and providing end-to-end analytical and logistical solutions.

Job Summary

The Executive Assistant will provide high-level administrative support to the CEO and other Executive Committee members (as needed). Reporting directly to the CEO, the Executive Assistant provides executive support, serves as a liaison to the board of directors and senior management teams as directed by the CEO; organizes and coordinates executive outreach and external relations efforts, and oversees special projects. The Executive Assistant must be creative and enjoy working within an entrepreneurial environment. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.

Essential Duties and Other Responsibilities:


  • Calendar Management: Managing executive schedules by organizing appointments, meetings, and events. Organize complex calendars and schedules, resolving any scheduling issues.
  • Travel arrangements: Making travel arrangements, including booking flights, hotels, transportation and creating itineraries.
  • Correspondence and communication: Handling incoming and outgoing communications, such as emails, phone calls and written correspondence on behalf of executives.
  • Meeting support: Assisting with meeting preparations, which may involve scheduling meetings, preparing agendas and organizing necessary materials. Following up on action items and ensuring timely completion of tasks discussed during meetings.
  • Information Management: Organizing and maintaining files, records and databases. Managing confidential information with discretion and ensuring data integrity and security.
  • Reporting and Research: Creates reports and conducts research and gathers information on specific topics as requested by executives.
  • Expense Management: Managing and tracking expenses for the executive team.
  • Performs other related duties and tasks as necessary or as assigned.
  • Attends Board meetings and off-site executive leadership events, as required.
  • Maintains a high level of confidentiality in all matters.

Education/Experience/Skills Required:


  • A bachelor's degree in business, communications, or a combination of relevant work experience and on the job training required.
  • 5 years of experience as an Executive Assistant or in a similar role, preferably within a fast-paced, growth-oriented environment.
  • Professional demeanor with a strong business focus.
  • Excellent project management, coordination, and organizational skills.
  • Proficiency in use of software and tools, especially MS PowerPoint, Teams, and OneNote required. Knowledge of Visio preferred.
  • Excellent communication and interpersonal abilities.
  • Excellent analytical, reasoning, p roblem-solving and critical thinking skills.
  • Attention to detail and a commitment to meeting project deadlines.
  • Ability to work autonomously as well as part of a team.
  • Handles detailed, complex concepts and problems, balances multiple tasks simultaneously, and makes rapid decisions regarding administrative and executive issues.
  • Acute attention to detail and dedicated work ethic.

Working Location/etc:


  • On-site in Raleigh, NC
  • Possible travel to board meetings and off site executive leadership events as needed
