Description: Job Summary

The Teacher Education Research Collaborative (TERC) at the Harvard Graduate School of Education is seeking a dedicated and organized Project Coordinator to join our team.

The Project Coordinator will support multiple ongoing research projects, including the Exploring Careers in Education study, Practice-Based Pedagogies study, and Cooperating Teacher Training study, as well as an annual research conference. Our research initiatives seek to strengthen both measurement and causal research in the field of teacher education.

Position Description

The Project Coordinator will support projects by performing a range of complex and confidential administrative and research duties. They will communicate with and provide updates across team members and research partners, both internally and externally. They will organize and support data collection efforts, including survey administration, observations/video recordings, qualitative check-in logs, and focus groups. They will support research participant needs, including preparation of technology and distribution of stipends. They will help project leads with agenda management, deadlines, and research infrastructure (IRB compliance, funder reporting, etc.). They will be responsible for anticipating and resolving problems and updating their supervisor on the status of the project. They will also help ensure clear communication across the project team. They may oversee the work of support staff, students, and temporary employees. Specific duties include the following:

1. Research Support (50%)

Serve as the point of contact for partners on tasks related to survey administration, focus groups, interviews, and observations.

Ensure smooth communication flow between the project team and research participants.

Track survey completion, video recording submissions, and qualitative data collection.

Execute and support participant recruitment efforts as needed.

Issue and track participant stipends.

Provide ongoing tech support.

Assist in tracking grant progress and deliverables, including supporting drafting of annual reviews.

2. General Project Support (35%)

Support logistical management of internal and external project meetings, including meetings with study participants and lead researchers at HGSE and elsewhere.

Assist with partner travel and reimbursements, ensuring compliance with Harvard's finance and travel policies.

Process expense reports and administrative paperwork.

Draft, edit, and prepare correspondence and other project-related materials.

Maintain project websites and materials as needed..

Other duties as assigned.

3. Event Management (15%)

Plan and coordinate logistics for project events, including trainings, annual convenings, and other meetings.

Arrange meeting spaces, participant registration, travel, AV and technical requirements, materials preparation, and catering within budget constraints.

Assist in developing meeting content and collateral in collaboration with project leads.

Travel (infrequent; 2-3 times per year) to support event or project execution, including taking notes, providing tech support, and managing check-ins.

This is a one year term appointment with a possibility of extension based on funding and department needs.

Basic Qualifications

Minimum of 3 years of relevant experience

Proficiency in MS Office

This position requires occasional travel to support project events and activities.

Additional Qualifications and Skills

Excellent interpersonal and communication skills.

Ability to prioritize work in a multi-tasking, fast-paced environment.

Capacity to work independently with minimal supervision.

Experience handling complex and confidential information with discretion.

Basic budgeting and financial tracking skills.

Proficiency in Qualtrics or similar survey software, G-Suite, and project management software.

Experience working in education or the public sector is a plus.

Working Conditions

This is a hybrid position that is based in Massachusetts. While there is currently flexibility on the frequency of working on campus, this role is expected to be on campus in Cambridge as needed.

Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
