Job Summary: The Intake Coordinator projects a warm and friendly demeanor while responding to patient, family, or professional referral calls promptly and with a high degree of sensitivity, courtesy, and professionalism and is responsible for gathering relevant pre-admission information accurately and in a timely manner, interpreting the information and determining admission suitability or the need for higher level clinical screening. The Intake Coordinator contributes to Bay Cove's mission by partnering with people to facilitate access to the services that support the individual's recovery journey.


This position is non-exempt.



Essential Functions of Position:



• Provide excellent customer service and communicate effectively with potential clients, families, health care providers, and other referring parties, including responding to general information requests by directing callers to relevant sources of information.
• Clearly and accurately communicate knowledge of the programs in Bay Cove's continuum of care and optimize referrals to Bay Cove services and programs.
• Keep abreast of service availability, update the Mass Behavioral Health Access (MABHA) website, communicate with other departments, and proactively reach out to those who may be seeking services to ensure maximum utilization and reimbursement.
• Conduct regular outreach to potential referring parties and maintain a database of key referral accounts, i.e. Bay Cove colleagues, clinical/medical professionals, alumni, PCP's, and prioritize their requests accordingly.
• Interview individuals seeking services and collect, interpret, and document clinical, personal, and financial information as relevant to intake and billing.
• Prepare and maintain accurate and complete electronic/paper patient records, reflecting current level of care and other pertinent information.
• Process client records in accordance with established agency and funder standards, completing intake and data entry accurately and in a timely manner.
• Interface with all levels of management and peers in a manner that promotes learning and mutual respect.
• Maintain accurate admission documents and prepare statistical reports for management within established time schedules.
• Work collaboratively with Program Directors and the Director of Operations to regularly evaluate accessibility of services and participate in quality improvement activities designed to increase accessibility.
• Perform all other duties as assigned.


Requirements for the position:



• High School Diploma or equivalent required. Bachelor's Degree in Psychology, Social Work, Human Services, or a related preferred.
• Minimum of two (2) years of experience in behavioral healthcare or admission setting.
• Intermediate computer skills with Microsoft Word, Excel, Google Email, and data entry experience.
• Demonstrated experience using an Electronic Health Record to coordinate patient care.
• Understanding or ability to learn about systems of behavioral health treatment.
• Ability to accurately enter data into an electronic health record system.
• Advanced customer service skills.
• Ability to multi-task and service multiple callers.
• Ability to work in a respectful, compassionate and supportive manner with individuals seeking behavioral health treatment.
• Willingness to learn new procedures and skills and a dedication to professional development.
• Demonstrated commitment to a sustained effort to seek out, acknowledge, and respect the diverse voices of all stakeholders and to advance inclusivity through every function of the role and the agency as a whole.
