Job Description:

The AP Specialist will be responsible for managing and processing invoices, handling payments, and ensuring the accuracy and timeliness of financial transactions. This role plays a crucial part in maintaining strong vendor relationships and supporting the overall financial health of the organization.

Key Responsibilities:



  • Invoice Processing: Review, verify, and process vendor invoices for accuracy, appropriate documentation, and approval before payment.


  • Vendor Management: Maintain accurate vendor records, including contact information and payment terms. Address vendor inquiries and resolve discrepancies in a timely manner.


  • Payment Processing: Prepare and process electronic transfers and payments, including ACH, wire transfers, and checks, ensuring they are made in accordance with company policies.


  • Expense Reports: Review and process employee expense reports, ensuring compliance with company policies.


  • Reconciliations: Reconcile accounts payable transactions and maintain accurate AP records, ensuring timely closure of month-end processes.


  • Data Entry: Enter invoices, vouchers, and other payable-related data into the accounting system.


  • Internal Communication: Collaborate with other departments to ensure accurate expense coding and proper allocation of costs.


  • Reporting: Assist in preparing reports related to accounts payable, including aging reports and payment status updates.


Qualifications:


  • Education: Associate's degree in Accounting, Finance, Business Administration, or related field (preferred but not required).


  • Experience: Minimum of 2 years of experience in accounts payable or a similar role.


  • Skills:

    • Strong knowledge of accounting principles and practices related to accounts payable.

    • Proficiency in using accounting software (e.g., QuickBooks, SAP, Oracle, or similar ERP systems).

    • Strong organizational skills and attention to detail.
