Status: non-exempt


Reports To: VP of Retirement Services



Summary



Under the supervision of the VP of Retirement Services, this position will provide support to Executive Leadership in the Marsh & McLennan Agency Southwest regional office. Successful candidates will be proactive, organized and work well with all levels of internal management and staff, outside clients and vendors.



Essential Duties & Responsibilities



  • Coordinate executive communications, including taking calls, responding to emails and interfacing with colleagues.

  • Schedule meetings/appointments and manage travel itineraries

  • Conserves executive's time by reading, researching collecting and analyzing information

  • Prepare reports, collect and analyze information; prepare presentations.

  • Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.

  • Data analysis; Proficient in MS Word, Excel, Outlook. Perform filtering and sorting of data, V-lookup, and other functions.

  • Develop project plans, including schedule, budget, team member duties and timeline.

    • Work with department managers and follow up on results

    • Track project deadlines



  • Uphold a strict level of confidentiality




Education and Experience



The successful candidate will 3-5 years working as an Executive Administrator


  • Administrative experience performing equivalent support duties in a large corporate environment.

  • Ability to manage multiple projects and priorities in a fast-paced environment.

  • Excellent verbal and written communication skills and ability to interact with senior leaders of the firm.

  • Strong ability to work independently; conduct business with a high level of commitment, judgment, and follow-through; and ability to take the initiative as appropriate.

  • Highly proficient in Microsoft Office applications: Outlook, Word, Excel (specifically pivot tables/v-look ups) and PowerPoint.




Work Environment & Physical Demands



  • Occasional extended hours

  • Ability to use computer keyboard throughout the day.

  • Work is performed in a typical interior/office work environment.

  • 5-10% travel may be required.
