OVERVIEW:


The Operations Coordinator for Interpretation provides operational support to gallery spaces within The Children’s Museum of Indianapolis. The coordinator serves as secondary contact for museum staff operations and maintenance requests for the interpretation department. The incumbent supports the interpretation team to ensure galleries are modified and maintained in accordance with the highest museum standards. They assist with communications and set-up, supplies gathering and implementation for new interpretation activities. The coordinator works collaboratively with department colleagues to ensure efficient operations and guest service.  The incumbent works with the Experience Production department effectively to maintain gallery materials and on-going repairs.

REPORTS TO:  Interpretation Operations Manager


ESSENTIAL RESPONSIBILITIES:



  1. Assists the Interpretation Operations Manager in the efficient and effective daily operations of galleries, including exhibit maintenance and upkeep, program supplies, signage, staff uniforms and monitoring technical equipment.

  2. Assists in training Interpretation staff on gallery operations. Provides input on operations training manual and assists with training and follow up with staff on established gallery policies and procedures.

  3. Ensures daily monitoring of gallery spaces. Maintains consistent communications with gallery staff at Focus meetings and with written communications.

  4. Assists museum staff to provide animal care for ScienceWorks, including food supply, feeding schedules, exhibit infrastructure.

  5. Works with the Operations Manager to effectively plan lines and queues for guests on heavy visitation days for high attractions and popular exhibits. Assists in developing operations plans for new exhibits in production.

  6. Works to research, develop and implement new gallery materials related to interpretation in the exhibit. Records small exhibit element revisions ensuring that new elements are effectively maintained.

  7. Researches and gathers supplies for new exhibits in production. Effectively communicates element closings and interpretation materials changes to key staff across the division and ultimately the general public.

  8. Works with Operations Manager to oversee the cleaning plan for all touchable materials; researches best materials for safe cleaning practices. Works with Interpretation Manager and gallery staff to implement routine daily operation check lists and cleaning plans.

  9. Acts as a Safety Warden for department during simulated and real emergency scenarios. Stays abreast of safety trainings and latest policies and communicates safety information to department staff regularly.


 REQUIREMENTS:



  1. Three (3) years’ operations support experience.

  2. Excellent organizational skills needed to coordinate and facilitate meetings, review and understand budgets and plan for future exhibitions and projects.

  3. Must be guest service oriented, able to work in an environment of continual interruption, and in a cooperative team atmosphere.

  4. Attention to detail and ability to handle multiple responsibilities; excellent verbal and written communication skills; excellent problem solving and negotiation skills.

  5. Basic knowledge of Microsoft Outlook, Word, Excel and Power Point.

  6. Self-starter with the ability to work autonomously with limited direction and oversight.

  7. Ability to identify and work with a diverse and dynamic staff, which possess a variety of backgrounds and skill sets.

  8. Able to work a flexible schedule, including weekends and holidays.  


ADA REQUIREMENTS:



  1. Must be able to view computer monitor, review and generate numerous documents, process large amounts of paperwork, and observe gallery spaces. 

  2. Must be able to communicate extensively and effectively by telephone, two-way radios, face-to-face conversations, virtually, and public presentations.

  3. Requires extensive computer keyboarding, calculator usage and processing of paperwork.

  4. Requires the ability to negotiate stairs, lifts, and navigate throughout the museum and campus.

  5. Must be able to sit, stand and/or kneel for extended periods of time and lift up to 30 lbs. Must tolerate dust in the work environment.
