Attindas Hygiene Partners designs, manufactures, and markets absorbent hygiene products. Provide high level complex and confidential executive administrative support to the President, CFO, Global VP HR and additional support to other Global Leadership Team Executives and their staff as warranted. Coordinate all internal and external office management support services. Plan and executive internal and external meetings and events.
Key Responsibilities
Manage and maintain executives' complex schedules, executing meetings/ appointments, and providing all domestic and international travel arrangements
Administration of executives' and employees' expense reports
Coordinate and maintain appropriation requests
Prepare requisitions/purchase orders/invoices for processing
Office management administration to include working with vendors/suppliers, preferred hotels, and property management
Coordinate office space, allocation, reconfiguration, interiors/furniture and lease
Provide office administration by coordinating and implementing administrative procedures and monitoring administrative projects (phone lists, copier agreements, office supplies, kitchen supplies)
Prepare email and letter correspondence, contracts, agreements, presentation materials and other business documents
Preparation for new hires. Office space (name plates, phone extension, IT, office supplies, set up of space), new hire packets, welcome bags, new hire paperwork.
Management of EE Recognition programs (Kudos, Champion Awards, STAR Awards, Jill Lewis Award, Dolores Perez Award).
Prepare outgoing mail/packages via USPS, FedEx and UPS
Maintain filing system and tracking of documents
Plan office gatherings/internal-external meetings/events, Calendaring, coordinating travel, securing meeting space, preparing/distributing agendas, securing catering, decorating, and materials etc.
Personal Assistant activities to support the President & CEO
Experience/Skills Required
Strong interpersonal skills; highly organized with sense of responsibility; excellent command of English grammar for verbal and written communication; ability to learn quickly and work with little to no supervision.
5+ years of experience as executive assistant to senior level executives.
Proficiency with computers and office equipment with a wide variety of knowledge of office software to include Outlook, Word, Excel and PowerPoint.
Higher secondary education and certifications or AA degree
Preferred Qualifications, Professional Experiences
Knowledge of technical and business vocabulary; detailed knowledge of company operations and organizational procedures, working knowledge of Microsoft Office software.
8+ years of experience as an executive assistant to senior level executives in fast paced confidential environment.
AA degree or BA/BS degree in business administration or related field.
