The Administrative Coordinator for the Division of Otolaryngology oversees the administrative aspects of our Audiology program. This role is under the direct support of the Senior Administrative Director and Audiology manager.


The Audiology program is comprised of ten audiologists and an audiology extern. Our Audiologists provide comprehensive, collaborative and patient-centered hearing health care for patients of all ages.


Our Audiologist see patients at our three different Otolaryngology ambulatory clinics at Brigham and Women's Hospital, Brigham and Women's Faulkner Hospital and Mass General Brigham Foxborough ambulatory center.


The Administrative Coordinator is responsible for the administrative duties of the program to ensure that our patients are provided high quality care, their appointments are coordinated, their questions are addressed, and our Audiologists are supported.



PRINCIPAL DUTIES AND RESPONSIBILITIES:




General Duties and Responsibilities:



• Manage Audiology phone line: answer calls, take messages, schedule patients, and call patients as needed with direction from the Audiologist


• Serve as Audiologist point of contact for patients to call as well as other otolaryngology administrative staff to contact for scheduling questions (ex: urgent audio scheduling and joint visits)


• Manage Audiology schedules, opening and closing sessions for vacation requests, monthly meets, etc.


• Manage hearing aid warranties and warranty extensions


• Manage Epic in-basket


• Manage outlook calendars for time off and meetings


• Update Admin Coordinator training materials


• Monitor hearing aid fund and submit invoices


• Coordinate Audiology meetings


• Manage Audiologist reimbursements


• Manage Audiology externship


• Working on any long term projects in collaboration with the Audiology Manager



Qualifications

• Bachelor's degree required or 3 years of experience.


• Prior administrative experience in a clinical operations setting (preferably within surgery).


• 3+ years experience with patient access and delivery systems, referrals and authorizations, billing functions and procedures, and/or financial analysis strongly preferred.


• Excellent computer skills: proficiency with Microsoft Outlook, Word, and Excel; insurance approval process; and clinical service billing.



Technical skills required:



• Knowledge of practice operations and standards.


• Ability to problem solve with limited direction


• Effective communication to maintain positive working relationships with Division employees


• Strong customer services skills in a high-volume setting


• Systems skills including Microsoft Office Suite, and EPIC is preferred


• Initiative and ability to work independently and lead/work in teams


• Demonstrated ability in project management and project implementation


• Excellent organizational, analytical and time-management
