Job Description:

JobSummary:

The EventManageris responsibleforthe sales, revenue and profits for events in the facility andmanagingtheeventsand functionsensuring deadlines and budgets are adhered to.The incumbentdirectsthecoordination of activities to prepare for the event.

Essential Functions:

Generate sales, revenue and profits for the use of facilities for events.

Meet with and work closely withcustomers,leadership, sponsors and organizing committees to determine objectives and requirements for events, plan scope and format, establish and monitor budget and review administrative procedures.

Organize and manage the details of events that may include but not limited to banquets,birthday parties, weddings,conferences, retreats, meetings, seminars, trainings, and committee meetings.

Monitor event activities to ensure compliance with applicable regulations and laws, satisfaction of participants, and resolution of any problems that arise.

Evaluate and select providers of services according to event requirements.

Inspect event facilities to ensure that they conform tocustomerrequirements.

Provide work direction tostaff responsible for event coordination activities including custodial and maintenance staff.

Hire, train, andsupervise staffon proper event procedures.

Book venuesand negotiate fees.

Review event bills for accuracy, and approve payment.

Maintain records of event aspects, including financial details.

Promoteand marketthefacilitiesusing flyers, cold calling, and social media.

Network, buildand maintain strong relationships with the community.

Analyze event performance and report metrics to management.

Relationships:

This position reports to the Executive Director/Branch Directoror Program Executive. The incumbent interacts regularly withthe community,board committees, branch/camp management, staff and volunteers. The incumbent provides work direction to event planning staff, committees and volunteers.

Qualifications:

Required

Minimum ofthree(3) yearsof experience coordinating special events, fundraisers, or meetings preferably on behalf of a non-profit or mission-driven organization.

Minimum of one (1) year of sales/serviceexperience with a proven track record of initiative, creativity and motivation to surpass sales goals.

Ability to negotiate prices for goods, services and facilities.

Experience giving work direction to staff.

Strong project managementand organizationalskills, attention to detail, and the ability to manage multiple projects and work assignmentssimultaneously.

Strong verbal and written communication skills, including experience speaking to groups.

Ability to represent the Y with a high level of professionalism.

Capable of working independently and as member of a team.

Must be able to anticipate project needs, discern work priorities, and meet deadlines with little supervision, and be willing to work evenings and weekends when necessary.

Proficient in the use of Microsoft Office Suite (Word, Excel, PowerPoint).

Preferred

Bachelors degree in a related field of study.

Multilingual

Work Conditions:

Ability to travel to various locations.

Ability to lift 50 lbs. to support event set-up and tear-down.

Ability to work 12+ hour shifts on event days and be on-call as needed.
