In this role, you will:




  • Handle highly confidential business matters, working independently on special assignments and maintaining the smooth operation of the office responsibilities of the Chief Research & Development Officer. The EA operates independently in absence of the Executives, calling on staff when required, and assisting with resolution and advising the Executives of any problems arising during absence.


  • Maintains a comprehensive understanding of department policies, procedures and department members' methods of operation to effectively and efficiently conduct duties and responsibilities. Sets priorities independently. Often is the point person for department requests for information, requiring knowledge of people and roles in the organization.


  • Manages the Executives calendar, responding to requests for time and rescheduling when necessary. Makes appointments, domestic and international travel arrangements, assembles packets of travel information and prepares materials for trips including detailed itineraries. Reviews and prints daily calendars providing all necessary arrangements and pre-reads for each day to ensure Executive is fully prepared for the next day.


  • Monitor the Executives email working closely to coordinate responses and prioritize action items to ensure no items left undone; Provides backup phone and calendar coverage to the CEO Assistant and other C-Suite Executives.


  • Prepares for department, staff and other meetings including creating agendas, preparing meeting materials and or presentations, loading information on SharePoint site, scheduling the meeting space required, connecting meetings to the required technology troubleshooting as needed, facilitating refreshments and managing the budget for these meetings and /or conferences.


  • Gathers and compiles detailed information into binder format for quarterly earnings call, working closely with other departments to provide required information. Responsible for tracking and inclusion of all required materials.


  • Drafts and types non-routine letters, memos, documents and various reports requiring knowledge of methods, procedures, policies and organization for senior management's signature. This material may require familiarity with commonly used business and technical expressions used by the R&D function.


  • Answers departmental phone; places, screens and refers calls to appropriate personnel; takes messages. Responds to highly diversified inquiries from members of management, employees and the public. Provides courteous and efficient responses to phone inquiries determining from experience and training the limitations on the extent and type of information which may be provided.


  • Receives sorts, distributes, opens and screens incoming email, mail and faxes. Categorizes and prioritizes response needed. Uses initiative to prepare responses for signature and to assemble background information from many sources. Summarizes lengthy correspondence, highlighting key sentences and topics. Follows up to ensure that proper and timely action is taken.


  • Manages reconciliation of a corporate credit cards for self and Executive, working with managers/supervisors and senior management to ensure the accuracy, timeliness, and appropriateness of expense report submission. Reviews and approves all expense reports for senior leaders on behalf of CRO, ensuring policies and procedures are strictly adhered to, informing Executive when needed.

  • 2 years of college; or equivalent experience


  • 8+ years or more administrative support in a corporate environment, supporting executives at the top executive level (i.e. CEO, CRO,COO, CFO, CIO, SVP, etc.); Prefer prior experience working in a Research & Development Function


  • Possesses a high level of senior executive administrative skills, normally acquired through an accredited college and/or prior work experience.


  • Advanced Microsoft Office skills including Outlook, Word, Excel, PowerPoint, and SharePoint.


  • Outstanding ability to develop and maintain positive and effective interactions and working relationships at all levels, including senior management, the Board of Directors, and the broader R&D and QRC teams.


  • Skype for Business, SAP, Workday and web based (Concur) travel and expense reporting system knowledge a plus.
