Job Description:

The incumbent will serve as an Affiliations Manager, providing administrative management and clerical
support for internal and external related activities and customers. The incumbent supports the Office of
Affiliations in meeting the SOM's education and related training initiatives with affiliated institutions.



Daily Operations

• Submit all affiliation agreements into Novatus and track to final signature. Monitor all agreements to
assure they remain active and begin renewal three months prior to expiration.
• Coordinate all affiliation site meetings and keep minutes and submit to all parties monthly (or every
2 weeks depending on scheduling).
• Type all career counseling forms and prepare them to go in permanent folder in Academic Affairs.
• Enter all adjunct faculty applications into Interfolio and track for completion and address any issues
that committees request.
• Assist in adjunct faculty receiving all educational CME as pertained to educational program.
• Prepare travel arrangements, authorization, and expense reports.
• Assist with coordination of student housing at affiliated institutions and ensure monthly invoices for
housing is paid.



Required Skills

• Solid working knowledge of office processes and business policy development, and of related computer
software and electronic communications tools.
• Proven interpersonal skills with experience providing complex administrative support in a high-profile
environment with tact and diplomacy.
• Experience preparing travel preferred.
• Ability to work across teams and with a variety of projects and constituencies.
• Requires excellent communication and interpersonal skills and ability to provide information and service
to a wide range of internal and external contacts.
• Ability to work in a stressful environment.
• Must be team oriented.



Education and Experience

• Bachelor's degree in business administration or related field required. Master's degree preferred.
• Three or more years of related experience required with proven office administration and customer
service skills.
