Job Description:

JOB RESPONSIBILITIES:

Directs the patient registration process by accurately identifying the patient and verifying financial information by identifying proper payers. Explains the purpose of and obtains signature for all consent forms, including witnessing signatures of patients and responsible parties, financial consent, surgical consent, and other information. Accurately enters all information pertaining to the patient/employee and guarantor registration in appropriate computer software system. Makes updates in computer on any patient information change and scans copies of insurance card(s), photo ID and any other necessary or required forms/information. Prepares record for patient to be seen with all paper or electronic information needed included in correct order of visit. Enters no shows and cancellations and reschedules appointments. Informs patients of patient portal and electronic access to medical records.

Collects co-payments and balances due from patient for medical services. Verifies all checks, charge cards and insurance eligibility. Obtains prior authorizations and referrals needed for office visits. Accurately issue receipts for all payments received and post those payments in the Electronic Medical Record (EMR) system.

Schedules patients for medical services by taking incoming telephone calls and walk-ins. Documents all communication with the patients, employers, and payers. Places documentation in the file and notifies appropriate people. Answer multi-line telephone system and directs calls to appropriate staff if necessary. Manages physician schedule. Blocks PTO, CME, Meetings etc.

Audits daily sign-in sheet to ensure all patients have been checked in. Counts, balances, and documents drawer activity daily. Reports any discrepancies and notes plan of action to Practice Administrator. Maintains and updates iPad that is used for electronic patient signature of forms.

Schedules surgeries, pre-op, and post-op appointments for patients. Contacts insurance companies to verify medical coverage and obtain prior authorizations for surgical procedures. Ensures consent for procedure has been signed and scanned into patient’s medical record. Reviews pre- and post-operative instructions in detail with the patient and ensures that patient has a clear understanding of the instructions. Performs pre-determination of high-tech surgical procedures and arranges for appropriate surgical equipment to be available for specific procedures and coordinates with the surgery department.

Assigns proper CPT codes for surgical procedures and clearly communicates this information with the insurance verification staff and surgery departments. Assists with retro prior authorizations within 72 hours of procedure if surgical procedure performed differs from the original request. Provides written and verbal communication to multiple affected JMH departments for coordination of care.

Works to obtain medical clearance from primary care provider for underlying medical conditions within specified timeframes as dictated by JMH policy and arranges appointments for such clearance. Obtains cardiology clearance with patient’s cardiologist, if needed and/or schedules a cardiology appointment for additional testing. Gives clear instructions to patients regarding any medication hold prior to their surgical procedure including, but not limited to blood thinners and documents this information in the patient’s medical record.

Performs additional related duties not addressed here as assigned by the Practice Administrator, practice site provider and/or the JMH Vice President of Physician Services.

Clearly communicates and continuously supports the Mission and Values of JMH.

Conducts all activities in compliance with applicable laws, regulations, standards, and Hospital policies and procedures including Blood and Body Substance Precautions.

EDUCATION, EXPERIENCE AND TRAINING:

High school diploma or equivalent and five (5) years of medical office or related work experience required.

SCHEDULE:


Monday- Friday; 8am-5pm.
