Job Summary:


The CCS Operations Assistant provides a range of operational and administrative support to the CCS Nurse Manager and is responsible for organizing, coordinating, and monitoring all non-clinical operations of the Crisis Stabilization program. The CCS Operations & Administrative Assistant will provide administrative assistance including triaging calls, assisting persons served, their families and collateral service providers to get answers to questions; and providing direct support to team staff. The Operations Assistant contributes to the Bay Cove mission by performing their duties in a manner consistent with recovery principles. This individual will report to the Nurse Manager.


This is a non-exempt position.



Essential Functions of the Position:



  • Provide a range of administrative support to the Crisis Stabilization program including answering the phone, setting up files, ordering supplies and equipment, securing taxi vouchers, compiling bills, preparing check requests, etc.


  • Collects and organizes data needed for program evaluation and improvement


  • Prepare graphs, infographics and other data visualization tools to display program information for funders


  • Assists in maintaining that staff trainings and other program requirements are up to date in order to maintain licensure


  • Assists CCS leadership in responding to call outs and in finding coverage for open shifts


  • Helps to monitor maintaining files and records in accordance with agency and program standards


  • Maintains effective working relationships with insurers, Fuller Building Security Team Specialists, DMH, BMC, Boston MCI, local community resources, and treatment/rehabilitation programs throughout the Greater Boston community.


  • Utilize recovery-oriented language and principles in all communication and interactions with Persons, colleagues, and collaterals.


  • Perform other duties as assigned by the supervisor.



Job Requirements:



  • Bachelor's Degree is preferred, preferably in Psychology, Social Work, or a related area


  • A High School diploma or GED is required


  • Experience working in programs providing services to individuals who have mental health and/or substance use challenges is strongly preferred


  • Knowledge of accounting procedures, medical records management, and personnel policies and procedures is preferred


  • Professional written and oral communications skills


  • High degree of personal organization, attention to detail, and time management skills


  • Proficiency in word processing and other computer functions using Windows, Word, Excel and Google Applications


  • Ability to climb stairs and carry up to 40 pounds, as well as the physical capacity to assist people with mobility impairments as needed
