The Program Coordinator will work remotely, supporting a designated project by organizing and overseeing project tasks, timelines, and resources. This role is remote but is expected to work during Eastern Time Zone hours.


Responsibilities


Administrative

  • Schedule and attend meetings and take detailed minutes, document key decisions and action items, and distribute notes to participants.

  • Prepare and distribute project-related documents, such as status reports, meeting minutes, and progress updates.

  • Maintain accurate and organized project documentation, including project plans, schedules, and reports.

  • Ensure that project deliverables meet quality standards and adhere to project specifications.

  • Provide administrative support to the Project Manager, Program Analyst and Facilitator, and committee and sub-committee members as needed.

  • Manage project-related correspondence and documentation.

  • Monitor resource mailboxes daily and ensure timely communication and accurate tracking for all incoming and outgoing correspondence.


  • Asist the Program Analyst and Facilitator with the set-up and maintenance of an online information gathering tool for collaborative use by committee and sub-committee members and stakeholders.

Virtual Meeting Coordination

  • Complete virtual meetings and webinars set-up and scheduling utilizing Zoom.gov to include breakout rooms, polling, recording, and compliance.

  • Provide coordination and technical support for virtual meetings that consist of varying numbers up to 200+ participants and 20+ speakers with an estimated 6 large scale and 18 small scale meetings conducted per year.

  • Prepare and disseminate all meeting materials including announcements, calendar invites, materials, summaries, and final recordings.

  • Create, compile, and edit PowerPoint presentations for virtual meetings combining various source documents from multiple representatives during the planning process.

  • Coordinate virtual presenter logistics including collecting bios, headshots and questions and compiling into a master deck.

  • Create a full meeting run of show that details responsibility for each element.

  • Support the Program Analyst and Facilitator in preparing, finalizing, and disseminating all materials in prep for virtual meetings.

  • Provide technical support to invitees in registering and/or accessing virtual meetings.

  • Assist in preparing post-meeting reports including analytics and action items.


Qualifications


  • Minimum 5 years of experience in project coordination/support

  • Advanced Microsoft Office (i.e., Word, Excel, Outlook, OneNote, and PowerPoint)

  • Minimum 3 years of experience setting up and supporting virtual meetings

  • Zoom certification preferred (but not required)

  • Excellent organizational and time management skills which include communication and interpersonal skills, and ability to work in a fast-paced environment that demands flexibility and innovation.

  • Ability to grasp new concepts quickly and integrate into day-to-day tasks

  • Strong attention to detail and highly organized

  • Friendly and professional demeanor

  • The ability to multitask and work independently with minimal supervision

  • This position is remote, but working hours are during the eastern time zone
