About This Position
The Crime and Justice Institute, a Division of Community Resources for Justice, is seeking a Senior Operations Specialist to support grants management and operational efficiency. The ideal candidate will be able to work efficiently, is well-organized, detail-oriented, and can prioritize quickly and confidently. The ability to multi-task in a fast-paced and virtually-based work environment is critical.

Duties / Responsibilities:
• Support grants management of more than thirty active grants, including tracking project spending, monitoring contract requirements, and developing contracts and amendments for consultants.
  • Manage federal reporting systems including leading the uploading of semi-annual reports, deliverables, and other required reporting.
  • Organize and submit responses to proposal requests for new business.
  • Secure necessary information, complete forms and procure insurance as required by all contracts and monitor through the life of the contract.
  • Assist with the implementation of new processes and procedures to improve the efficiency of CJI’s day-to-day operations.
  • Serve as the primary CJI admin business systems including Replicon, CentreSuite, and NetSuite.
  • Manage the entry of new projects into NetSuite.
  • Support subrecipient monitoring to ensure alignment with federal contract requirements.
  • Lead the creation of specialized invoicing for deliverables or fixed fee projects.
  • Maintain personnel records, insurance certificates, order supplies, equipment, and licenses, coordinate meetings and events.
  • Manage the planning and coordination of special events and convenings.
  • Lead quality assurance processes to ensure the accurate coding of invoices, credit card statements, and other financial reports.
  • Develop and implement special projects to expand staff training and development and ensure CJI’s commitment to continuous learning.
  • Track CJI’s lobbyist registration and reporting requirements.
  • Support efforts to ensure compliance and consistency with CJI policies and practices.
  • Support internal communication efforts to streamline communication and improve collaboration across the organization.


  • Required Knowledge / Skills / Experience:
  • 5 or more years’ professional administrative or operations experience for a nonprofit organization.
  • Experience with grants management, federal grants preferred.
  • Experience with federal reporting and procurement systems.
  • Exceptional attention to detail and problem-solving skills.
  • Highly developed writing skills.
  • Motivated and independent thinker.
  • Possess high standards regarding work quality.
  • Ability to interact with a variety of people, both in-person and virtually, in a professional and collaborative manner.
  • Ability to coordinate and respond to multiple priorities with tight deadlines.
  • Proficient in Microsoft Office Products: Word, Excel, and Power Point, Access, SharePoint, Publisher, and Teams.
  • Must be willing and able to travel a few times a year and work flexible hours when needed.
  • Experience with federal grant reporting.

  • Education:
  • A Bachelor’s degree in related field required. In lieu of degree, candidates with 5-7 years of similar, professional experience will be considered.

Social Justice Services (SJS), supports those leaving incarceration to make positive, sustainable life transitions through residential and non-residential programs. Behavioral Health (BH) has worked to break cycles of violence, crime, and incarceration by providing client-centered interventions and support services to empower and strengthen individuals, families, and communities. BH provides domestic violence treatment and education, community reentry services, mentoring programs, and intensive outpatient programs. The Crime and Justice Institute (CJI) is a non-profit organization working at the local, state, and national level to improve public safety and the delivery of justice. CJI provides technical assistance, research, and other services to improve outcomes in policing, the corrections system, pre-trial, re-entry, community supervision, and juvenile justice.
