Business Support / Administrative Assistant

Ashland has an exciting opportunity for a Business Support Associate—Administrative Assistant to join our Ashland Specialty Ingredients’ AquariusTM Film Coatings business at our Wilmington, Delaware plant. This is a very visible, significant role within the Company. The position will report to the Plant Manager.

The responsibilities of the position include, but are not limited to, the following:


  • Maintain compliance with all health, safety, and environmental procedures and guidelines.

  • Provide administrative support to site personnel

  • Track and approve weekly timesheets

  • Track Quality documents, review due dates, write and revise standard operating procedures

  • Maintain limited access document storage for batch records and quality records, including disposal.

  • Maintain training records and equipment life cycle files

  • Initiate onboarding or transfer from temp to permanent (a-number, computer access), I-9 form

  • Coordinate uniform rentals

  • Purchase rubber boots, respirator, and guide how to acquire safety shoes and safety glasses (if needed)

  • Access with computer sign-on and benefits

  • Liaison with HR and IT for new hires and for non-routine plant issues

  • Maintain routine indirect production supplies

  • Maintain office supply inventory

  • Coordinate vendor visits

  • Support Bridgewater Facilities Group

  • Back-up to Wilmington Facilities Group administrative personnel

  • Create annual blanket purchase orders

  • Create check requests for regulatory agencies and other vendors as required

  • Create necessary purchase orders and process invoices (review for accuracy)

  • Provide data for month-end close

  • Provide monthly production and employee hours

  • Coordinate safety group meetings – track safety training

  • Reconcile issues with Cintas

  • SAP Material transactions:

  • Issue and track work orders as required

  • Close-out Capital projects

  • Other duties as assigned

In order to be qualified for this role, you must possess the following:


  • 3+ years of administrative support experience.

  • Competency in the use of common computer software packages.

  • Attentive to detail, good planning & organizational skills.

  • Demonstrates good interpersonal, communication, and presentation skills.

  • Work independently.

The following skill sets are preferred by the business unit:


  • Associate's degree in an administrative/business background.

  • Ability to interface well with employees involved in manufacturing, quality control, and site Leadership Team members.

  • Understanding SAP transactions, purchasing, delivery processor, and receiving processor roles is preferred.

  • An understanding of the requirements of cGMP and their application.
