Job Description:

The position is the primary contact for online graduate student processes in the School of Civil Engineering and Environmental Science. This includes administrative needs for admissions, enrollment, course scheduling, advising, assessment, and student records. Assists with processing graduate program modifications.


Job duties for this position include:



  • Reviews online program graduate student applications

  • Maintains online program graduate student data base containing student progress, letters of recommendation, transcripts as needed

  • Schedules Graduate Student Services Committee meetings and provides minutes

  • Serves on Graduate Studies Committee

  • Assists with course and program modifications related to online programs

  • Prepares and maintains online program course schedules

  • Assists with online graduate program assessment

  • Assists with online instruction contracts

  • Updates remote work approvals for online instructors

  • Assists with payroll administration for online program instructors and TA¿s

  • Other duties as assigned


***This is an onsite position - 8am - 5pm Monday through Friday with occasional nights and weekends.***

Required Education: High School Diploma or GED, AND



  • 12 months office clerical experience


Skills: 



  • Proficient navigating and maintaining databases

  • Ability to speak, read and write clear, concise English

  • Proficient in Microsoft Office

  • Detail oriented and able to handle multiple projects and deadlines

  • Able to communicate well and build rapport quickly with students, faculty and staff

  • Able to produce reports and complete work within deadlines

  • Strong initiative to solve problems

  • Creativity in problem solving

  • General office skills such as handling a multi-line phone, coordinating conference calls, copying, filing, and dealing with mail and package handling services

  • Customer service

  • Composition and proofreading skills

  • Ability to work effectively and efficiently as a member of a larger team


Certifications:



  • Valid driver's license required for travel to outreach and other event venues.

  • Frequent exposure to pressure caused by deadlines and busy periods

  • Ability to sit for long periods of time and engage in repetitive motions

  • Able to grasp objects with fingers or hands; communicate; including expressing oneself or exchanging information with others orally and in written form; see, including color, depth perception and clarity.

  • Stand, sit, walk, and lift up to 10 pounds.


Departmental Preferences:



  • B.S. degree

  • Familiarity with university systems (ONE, Course Leaf, Degree Navigator, Canvas, Slate)

  • Advanced Excel skills with the ability to build and manipulate spreadsheets.

  • Familiarity with OU Policies and Procedures


Supervision: May supervise 1 student worker if needed.
