VIAVI Solutions is hiring an experienced Administrative Assistant in Chandler, AZ. This is a full time, in-office position.

Duties & Responsibilities:

Responsibilities include:


  • Assist the CEO’s Executive Assistant whenever necessary in managing projects for the onsite and offsite events.

  • Perform general administrative tasks including greeting and directing guests in office. Check office voicemail and direct inquiries to the appropriate person or department.

  • Collecting and routing mail and hand-delivered packages.

  • Order and maintain office supply inventory plus stocking the kitchen. Act as the liaison between the company and the vendor.

  • Creates purchase orders, purchase requisitions, and processes invoices. Oracle experience a plus. 

  • Provide administrative assistance for onsite and offsite quarterly events, team meetings which includes rooming lists, set up and wrap up, ordering meals, and ensure a seamless flow.

  • Reserve conference rooms, internal visitor offices, and make any other arrangements for the specified meeting.

  • Support the office as needed, including occasional last-minute requests the management team may need.

  • Assist with facilities requests for the corporate office.

  • Handle confidential information with discretion.

  • Process expense reports and make travel arrangements for Estaff upon request.

Pre-Requisites / Skills / Experience Requirements:

Qualifications:


  • HS diploma or equivalent required: Associate degree preferred.

  • 2-4 years of previous Administrative Assistant experience.

  • Experience with planning company events.

  • Strong computers skills: Microsoft Office Suite, including Outlook, Teams and Word.

  • Strong organizational skills and attention to detail.

  • Ability to follow through on tasks, prioritize and complete in a timely manner.

  • Team player with strong interpersonal skills
