The purpose of this position is to provide support to the Lease Administration and Compliance Team, along with support to the Real Estate Assets Team. This includes preparing communications/letters, creating, tracking and maintaining reports, abstracting lease/legal documents as they relate to acquisitions and new leases, and coordinating special events for company controlled and non-company controlled locations. In addition, this position is responsible for inputting and maintaining data and contracts in the Compass Real Estate Management system and providing support for maintenance of data in the Publix Property Portal system, including items such as the creation of lease records, Lease Compliance tracking, uploading documents and misc. items as needed. This position also assists with answering telephones, filing electronic and hard copy documents, and providing clerical support as needed.
Responsibilities include:
abstracting and creating contracts (also known as “lease records”), including tenant contracts, adjacent property contracts and Internal Rent contracts, in Compass and assisting the Tenant Lease Administrator with Lease Administration and Compass related items
tracking, reviewing, and managing Lease Compliance requests for all tenants to ensure they are in compliance with their lease agreement. Publix currently has over 3,000 tenants that have numerous compliance obligations associated with their leases (e.g. providing proof of insurance, reporting sales, providing proof of pest control services, and HVAC maintenance, etc.).
drafting maintenance rebills and roof scan invoice letters for all non-company controlled locations
maintaining emergency contact information in Compass, entering maintenance exception items into Compass and entering title summary information into the Company Controlled Title Report
coordinating special events for all locations and divisions
assisting in compiling and reviewing information associated with acquisitions as support to the Due Diligence Specialist
special projects and providing other clerical support
One year of office/business experience
