Position Overview

As parts coordinator, you will coordinate the ordering, receiving, storing, inventorying, issuing and shipping of café equipment related parts, supplies and tools, in a single warehouse. Additionally, you will support the Café Equipment and overall Sales Division of the Company.

Function Related Activities/Key Responsibilities


  • Assists Café Equipment Supervisor with planning and layout of the parts room and other parts storage areas, considering turnover, size and other related factors of items stored
  • Maintains the parts room and keeps it in a clean and orderly manner
  • Ensures parts bins are clearly tagged with the proper identifying label and that any new items are placed in a parts bin and properly labeled
  • Converts stock transport orders, (submitted by Location Field Service Technicians) to pick lists and delivery notes in SAP. Communicates via e-mail, out of stock parts to the Field Service Supervisors or Sales Location Manager
  • Pulls parts orders for the location Service Technicians and location Field Service Technicians. Ensures that the orders are pulled in a manner that they are easy to verify and that each order is placed in an individual bin or box, not mixed with another order
  • Verifies shipments from vendors. Posts SAP transactions for Purchase Order receipts, deliveries, transfers
  • Conducts daily cycle counts of parts. Aids in end of year inventory of parts
  • Administers the return of warranty parts to the vendor to include credit tracking
  • Reviews and makes corrections as necessary for purchase requisitions created by Material Requirements Planning (MRP) Warehouse Management System (WMS)
  • Makes recommendations to supervisor for changes in MRP data for parts
  • Verifies parts orders received from vendors, enters into SAP and places them in the proper parts bins
May be requested to perform different or additional duties as assigned

Position Requirements


  • High school diploma or equivalent.

    • Passing score on aptitude test required in lieu of high school diploma or equivalent.
  • 2 years' related experience or equivalent combination of education and experience

    • Experience with Community Coffee, even if unrelated, may fulfill this requirement at the discretion of the hiring manager with approval from Human Resources
  • Valid driver's license or valid federal, state or local ID
  • Ability to work with database inventory management software and Microsoft Outlook, Excel and Word
  • Knowledge of SAP and WMS a plus
  • Familiarity with mechanical terminology

  • Field Sales Environment- While performing the duties of this job, the employee occasionally works near moving mechanical parts; in high, precarious places; and in outside weather conditions and is occasionally exposed to fumes or airborne particles; The noise level in the work environment is usually moderate, but may be moderately loud in warehouse areas.
