Job Description:

About the Role: The Executive Administrative Assistant to the CEO and President/COO is a key administrative role providing high-level support to the executive level of the organization.  This individual will manage schedules, coordinate meetings, handle correspondence, and perform a variety of tasks to ensure the efficient operation of the executive offices.  The ideal candidate is highly organized, detail-oriented, and able to handle confidential information with discretion.
 


Statement of Work:
 



  • Notes comments made by executive during meetings and arranges for CEO or President implementation. On own initiative, arranges for CEO or President to represent organization at conferences and meetings, established appointment priorities, or reschedules or refuses appointments or invitations.

  • In the absence of the CEO or President, ensures that requests for action or information are relayed to the appropriate person (CEO or President); as needed, interprets request, and helps implement action; makes sure that information is furnished in a timely manner; decides whether executive should be notified of important or emergency matters.

  • Screens phone calls, visitors, and incoming correspondence; responds to requests for information concerning office procedures; determines which requests should be handled by the CEO, President, or appropriate staff member. May prepare and sign routine, non-technical correspondence in own or supervisor’s name.

  • Makes arrangements for conferences and meetings and assembles background materials, as directed. May attend meetings and record and report on the proceedings.

  • Reviews outgoing materials and correspondence for internal consistency and conformance with CEO’s or President’s procedure.

  • Anticipates and prepares materials needed by the CEO or President for conferences, correspondence, appointments, meetings, telephone calls, etc., and informs same on matters to be considered.

  • Prepares special or one-time reports, summaries, or replies to inquiries, selecting relevant information from a variety of sources such as reports, documents, correspondence, other offices, etc., under general direction.

  • Reports quality problems to applicable supervisor.

  • Responsible to follow departmental procedures and work instructions as written and recommend improvements as necessary.

  • Any other task/activity assigned by the supervisor within the scope of the administrative function.

  • Maintains a safe and clean working environment by complying with polices, guidelines and regulatory requirements per the Sealing Devices’ Quality System.


Salary ranges for this position are determined based upon the job location and can be adjusted based upon experience, reflecting our commitment to valuing the expertise and contributions of our individual team members. Salary range for this role is $27.00 - $30.00 per hour.
