Job Description:

The AP Specialist performs a variety of tasks related to the maintenance/processing/payment of accounts payable invoices for Safe Harbor Marinas' various owned and managed marina properties. This position will work with all levels of management and must have strong verbal and written communication skills. SHM is growing and as such, this individual must be open to change. This role suits an energetic person who can be innovative and flexible. The AP Specialist reports to the Director of Accounts Payable.

Essential Duties and Responsibilities

Processing daily Accounts Payable (AP) statements/reports with NetSuite and DocuPeak
Receiving and verifying invoices and requisitions for goods and services
Data-entry of approximately 400 invoices for payment into DocuPeak per day
Assisting with weekly check runs and processing checks in NetSuite
Preparing and mailing vendor checks
Preparing manual checks as and when required
Processing specific financial forms (e.g., property tax forms, inventory/supplies order forms, etc.)
Processing customer refunds in marina specific database
Verifying coding and obtaining signatures for specific forms and records
Maintaining AP files and financial documents using an organized filing system as instructed electronically and/or non-electronically
Producing and preparing monthly financial statements/reports as required
Verifying transactions comply with financial policies and procedures established by Safe Harbor Marinas
Effectively communicating with marina personnel, vendors, and co-workers via email, over the telephone, and/or in person
Assisting teammates when needed to ensure critical deliverables are achieved with excellence
Performing other duties as assigned by the Director of Accounts Payable
Other duties as assigned by manager

Safety and Environmental Responsibilities

Follow SHM Safety and Environmental rules and complete required related training.
Wear proper personal protective equipment as required for the task or work area.
Report all accidents, injuries, spills and near misses immediately.

Minimum Technical Qualifications

Associate's degree in Accounting, Business, or Finance or 2-years college courses required; Bachelor's degree preferred
Two or more years of full cycle Accounts Payable
Two or more years of customer service
General understanding of accounting practices and principles
Experience with automated accounting programs and systems; NetSuite preferred but not required
Working knowledge of the Microsoft Office (e.g., Word, Excel, Outlook)
10-Key by touch and ability to type 60 WPM
Ability to sit or stand for long periods of time
Ability to lift 20 pounds
Must possess proficient ability to communicate in English in oral and written format
Light travel (less than 5%) may be requested in the future
