Job Description:

The Staff Assistant assists the Financial Regulation Division in a number of tasks as noted in the listing of Job Duties. The Staff Assistant reports to the Chief Financial Regulator. Plan and schedule travel for the entire Department of Insurance including, but not limited to: finding flights, booking flights, booking hotel rooms, and booking rental cars. Track receipt of and due dates for required financial filings for the Financial Regulation Division. Receive and track the Supplemental Compensation Exhibit submitted by all licensed insurers and, if applicable, calculate late fee to be assessed. Compile and report monthly Financial Regulation Division reporting metrics to the Chief Financial Regulator.
Track and proctor Financial Regulation Division staff professional designations and continuing education hours. Review, update and post the Annual Filings Checklists on the Department's website. As designee for the Exam Division's information on the Department's website, ensure information is accurate and up to date, including posting of each newly completed exam report. Monitor field staff's status, billable hours, and expense billings. Act as liaison within areas of the Financial Regulation Division to provide support services, including: updates of meetings; relaying current information, directives, procedures, and items of interest; and issuing supply and material requests. Issue notice to other state insurance departments regarding participation in upcoming financial exams. Enter exam detail information into the National Association of Insurance Commissioners (NAIC) database upon completion of domestic company exams. Distribute exam report to companies notifying them of the filing process and ensuring responses to any findings. Track and complete the report filing process within statutory time frames. Collect data from the domestic company annual statements to compile the annual domestic company listing. Prepare and maintain records retention files for the Financial Regulation Division; schedule meetings and conference rooms; assist with Division staff events; track and order NAIC manuals and publications; type correspondence as needed; distribute mail to Chief Financial Regulator and other Financial Regulation Division staff. Upload notices and approvals of Permitted Accounting Practices for domestic companies to the NAIC. Coordinate the filing of the NAIC Interim Annual Review for the accreditation requirements. Provide clerical/administrative support to the Chief Financial Regulator and to Financial Regulation Division staff members as needed. Other duties as assigned within the scope of the job classification.



Requirements / Qualifications




Minimum Qualifications: Coursework/training in administrative/office support functions, procedures, and methods including the operation of personal computers and office equipment; or areas related to the programs and functions of the employing agency. OR Experience in customer service or public contact; or applying criteria/regulations; and/or performing administrative/office/secretarial support work including use of personal computers and office equipment.



Preferred Qualifications: Software such as word processing, spreadsheet, data management, graphic/presentation, and web/internet applications; Two years' experience in an office setting in administrative support level work with previous experience allowing for independent work and decision making.



Other: Regular and Reliable attendance is required.



Knowledge, Skills and Abilities:



Knowledge of:the activities, views, priorities, and commitments of the Chief Financial Examiner; the procedures of manual and electronic file maintenance, record keeping, and mail distribution; the organization and functions of the assigned work unit; specialized processes and terminology associated with assigned work.


Ability to:understand, adapt, and apply administrative support policies, guidelines, practices, procedures, and filing/database systems to current and new situations; evaluate and recommend new office procedures and priorities; inform employees or others about the supervisor's views on current issues/situations; instruct and guide other office support workers on record keeping, correspondence, and communication procedures; locate and summarize relevant information from manual and electronic files and documents; communicate in person, and by telephone, computer, email, and correspondence with agency employees, public officials, and the public to exchange information; interact with the immediate supervisor, agency employees, public officials, and the public to establish working relationships; determine scope and priority of personal work assignments; code, sort, file, and retrieve records and other items using established manual or electronic filing/categorizing system; prepare, proofread, and correct errors in information, documents, and reports obtained from agency employees, manual and electronic office files, web/internet and other sources; arrange travel or conference plans, meeting locations, schedules and appointments.
