JOB TITLE: Human Resource Assistant

REPORTS TO: Director of Human Resources

SUMMARY

Assists with company-wide day-to-day human resource operations. Provides functional guidance for human resources administrative support needs.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Maintain employee HR/Payroll Database, new hire processing, new hire data entry, file setup and maintenance.
  • Monitor employee data, field communication for missing info, field communication with codes for timesheet.
  • Submit New Hire Report.
  • Data entry and monitor background checks, forward results to HR Generalist and Manager for adjudication.

SUPERVISORY RESPONSIBILITY

  • None

  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to respond promptly to customer needs and requests for service and assistance.
  • Ability to adapt to changes in the work environment, manage competing demands, and deal with frequent change, delays or unexpected events.
  • Ability to consistently arrive at work on time on scheduled work days, follow instructions, respond to management direction and solicit feedback to improve performance.
  • Ability to observe safety and security procedures and use equipment and materials properly.
  • Ability to prioritize and plan work activities and use time efficiently.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Proficient with Microsoft Office Suite or related software.
  • Proficiency with or the ability to quickly learn the organization’s HRIS and talent management systems.

EDUCATION AND EXPERIENCE

  • One or more year’s related experience and/or training preferred
  • Experience within the Maritime industry preferred
  • Knowledge of employment-related laws and regulations preferred
  • Ability to communicate bilingually in English and Spanish preferred

WORKING CONDITIONS

  • Most work performed in office environment.
  • Prolonged periods of sitting or standing at a desk and working on a computer.
