Position Title: Student Services Specialist 1 (Temporary, Part-Time, up to 19.5 hours per week)



Department: Adult Basic Education for College & Career



Rate of Pay: $18.08/hour

Position Summary:



The Student Services Specialist 1 provides a full range of student services support, including assisting students in navigating college systems, data entry and student records management, and registration and eligibility. Facilitates new student testing and maintains and updates student academic records. Administers assessments and progress testing and guides students through the enrollment process. Works with Division Teams to advise students in multiple areas of College programs and processes.

For more than 50 years, Pima's Adult Basic Education Division has served adult learners in Pima County with Adult Basic Education, Adult Secondary Education, English to Speakers of Other Languages (ESOL), Refugee Education, Rights and Responsibilities of Citizenship, Student Engagement, IBEST and Transition programming and services. Each year, thousands of adults are served at college campuses, in community locations, virtually/online, at the Pima County Jail, and primarily at three large learning centers.

The work schedule for this position is flexible and will include working evenings.




Duties and Responsibilities:



  • Facilitates students with admissions, course registration, and assessment and testing processes. Assists students with verification, residency, and transcript submission.

  • Proctors tests for Adult Education students

  • Collects, enters, compiles, and maintains accurate and complete confidential student, division, and college data across multiple database systems and spreadsheets. Ensures data is collected and stored in alignment with local, state, and federal regulations, policies, and guidance to maintain compliance with FERPA, WIOA, State, College, and grant compliance

  • Monitors and answers student inquiries using online services, email, and phone. Implements department operational procedures, forms, and processes in coordination with the District Office specifications and other campus departments

  • Provides advanced office support to administration and management. Assists Directors and AVC with data-related reports of a confidential nature, as needed

  • Performs all other duties and responsibilities as assigned or directed by the supervisor


Job Requirements:



  • High School diploma or General Equivalency Degree (GED) and

  • Two years of office experience, including experience using computers and other business equipment

or


  • Candidates who possess similar minimum objective qualifications should describe in detail the education and work experience you regard as establishing the equivalency


Preferred:



  • Bilingual in English and Spanish


The ideal candidate will have the following knowledge, skills, and abilities:



  • Experience operating and maintaining a variety of 3D printers and other equipment

  • Ability to design and manufacture components/equipment based on CAD models, blueprints, sketches, oral descriptions and performance requirements

  • Experience working in an academic environment with students

  • Ability to work within defined project schedules, manage multiple simultaneous projects, and multi-task effectively

  • Excellent communication and interpersonal skills

  • Ability to prioritize and multitask

  • Demonstrated comfort with a variety of makerspace technologies; Laser cutters, 3D Printers, Cricut Machines, programmable objects

  • Knowledge of microelectronic technology such as Raspberry Pi, Arduino or equivalent

  • Knowledge of educational technologies, jam boards, smart boards, Course Management Systems


Physical Requirements:



  • Positions in this class typically require: talking, hearing, seeing, repetitive motions and fine finger movements - using the fingers to manipulate/handle objects such as typing, sorting papers, activating buttons, sorting/separating small parts

  • Sedentary Work: Exerting up to 20 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
