Documentation Specialist

Position Overview: We are seeking a highly organized and detail-oriented Documentation Specialist to join our dynamic team at The Reynolds Company.  As a Documentation Specialist, you will play a critical role in maintaining and managing our documentation process to ensure accurate and efficient record-keeping within the company. Your responsibilities will involve organizing, updating, and archiving various types of documents related to electrical products, inventory, sales, and other essential processes. The ideal candidate will possess a strong attention to detail, excellent communication skills, and a deep understanding of electrical products and terminology.

Responsibilities:



  1. Document Management: Oversee the organization and management of all documentation related to electrical products, inventory, pricing, supplier agreements, and customer orders.


  2. Document Creation: Create, edit, and format various types of documents, including product catalogs, price lists, product specifications, and sales materials.


  3. Quality Control: Review documents for accuracy, consistency, and completeness, ensuring they adhere to company standards and industry regulations.


  4. Version Control: Implement and maintain version control procedures to track document revisions and updates, ensuring that the latest information is readily available to relevant teams.


  5. Data Entry: Accurately input data into various systems and databases, maintaining up-to-date and error-free records.


  6. Collaboration: Collaborate with cross-functional teams, including sales, purchasing, marketing, and warehouse personnel, to gather and update information for documentation.


  7. Standardization: Establish and maintain documentation standards and templates to maintain consistency across all materials.


  8. Archiving and Retrieval: Organize and maintain an efficient document retrieval system, making sure documents are easily accessible to authorized personnel.


  9. Compliance: Ensure all documentation meets legal and regulatory requirements, maintaining confidentiality and data security as necessary.


  10. Process Improvement: Continuously identify opportunities for streamlining documentation processes and propose solutions to enhance efficiency.


  11. Training and Support: Provide training and support to employees on documentation processes and best practices.

Requirements:


  • Proven experience as a Documentation Specialist or in a similar role, preferably in an electrical distribution or related industry.

  • Strong knowledge of electrical products, terminology, and industry practices.

  • Proficiency in document management software and office productivity tools (e.g., MS Office, SharePoint, Google Workspace).

  • Exceptional attention to detail and accuracy in data entry and document preparation.

  • Excellent organizational and time management skills, capable of prioritizing tasks effectively.

  • Strong communication skills, both written and verbal, to interact with various teams and stakeholders.

  • Ability to work independently as well as collaboratively within a team environment.

  • Familiarity with regulatory requirements related to documentation and data management.

  • Bachelor's degree in a relevant field or equivalent work experience.
