Provide administrative support to two Post Acute Executive Sales Leaders who travel frequently. This position is a hybrid position with 3 days a week in the office.
Responsibilities
Perform assigned administrative activities in support of individual and team objectives.
Daily Calendar management - work with employee requests as well as external customer request for meetings. Also coordinate and schedule team, group and larger customer meetings. High volume of requests daily
Make travel arrangements and quickly address changes needed to existing travel itineraries
Exercise discretion and independent judgment in analyzing information requests and determining action needed
Coordinate on and offsite customer meetings
Complete and submit expense reports for Executives
Approve team expense reports
Write/transcribe SOP's and other documents. Draft procedures, presentations and reports as directed (PowerPoint, Excel, Word, etc.).
Point person for space planning for the wing
Ensure food/beverages and other logistics for on and offsite meetings have been arranged
Invoice submittal and invoice approvals
Provide trade show compliance information and paperwork submittal
Review Kronos time keeping reports and make corrections to punches as needed
Ensure floor is stocked with supplies, submit maintenance requests as needed
Booking external conference rooms, booking hotel room blocks, setting up vendors and other miscellaneous items as needed
Requirements
Education
High school diploma or equivalent.
Experience
A minimum of 4 years of administrative assistant experience
.Intermediate skills in Microsoft Excel and PowerPoint, and Outlook
Type 40 wpm
Ability to travel 10%
Preferred Qualifications
Intermediate skill level in Project, and Adobe Writer.
Very strong organizational and prioritization skills
Ability to successfully work with various department contacts throughout the company
Ability to work with confidential information
Ability to flexible to changing priorities and urgent requests
Strong communication skills
