Summary of Major Responsibilities

The Manager, Facilities Maintenance will be responsible for establishing and maintaining adequate facilities and infrastructure to support Exact Sciences’ business plans in a cGMP environment. This individual will supervise, lead, train and assist a team of maintenance personnel that are responsible for the maintenance and repairs of multiple facilities comprised of office, GMP laboratories, clinical laboratories, research laboratories and warehouse areas. In addition, this position will assist with responsibilities such as programs and activities around maintenance, sustainability, project management and business continuity.

Essential Duties and Responsibilities

    Establish, maintain and improve cost-effective, cGMP-compliant systems and processes for facilities, utilities and infrastructure, including environmental monitoring and control.
  • Tactically lead efforts of continuous improvement within the CMMS and ensure equipment and work orders are updated accurately and timely. Actively participate in new equipment onboarding into the CMMS.

  • Conduct building inspections to assess the current operational condition, document findings, and take appropriate follow up action.

  • Respond to critical alarms.

  • Ensure proper corrective and preventive maintenance of facility systems, including but not limited to, HVAC, plumbing, electrical, life safety, fire suppression, compressed air, water treatment, freezers, refrigerators, and other facility related equipment following SOPs and proper documentation of work completed to meet QMS requirements.

  • Prepare required reports for management review and approval.

  • Maintain compliance with all regulatory standards, including but not limited to GMP, OSHA, FDA, DNR, CLIA/CAP, WDATCP and USDA and other health/safety and environmental related regulations.

  • Address investigations, non-conformances, and CAPAs as they relate to operations production areas.

  • Assist with facility-related budget preparation, tracking, financial forecasting and identifying and implementing efficiency and effectiveness programs within facilities in order to manage personnel and costs appropriately.

  • Conduct and oversee maintenance forecasting, planning and analysis as well as leading the consistent improvement in operational and client services so that schedules are met, and communications maintained.

  • Identify and meet customer service expectations for performance of maintenance services, internally and externally performed, including planned and unplanned services.

  • Ensure the integrity of architectural systems (such as window, wall, roof, electrical, emergency power, fire protection/detection and/or data/technology/security systems). Work with architects and contractors on the design, construction or major alteration of Exact Sciences buildings, reviewing and assisting in making changes in plans, specifications, and commissioning activities.

  • Ensure mechanical systems are operating at the designed efficiency in all operational modes, such as primary heating, ventilating, air-conditioning and refrigeration (HVAC&R) equipment and systems (including components such as boilers, water-cooled chillers, steam generators, cooling towers, roof-mounted air-handling units, energy recovery units and pumps); HVAC&R piping systems (heating hot water, chilled water, refrigerant, steam, etc.) and ductwork; terminal equipment (such as cabinet unit heaters, fin tube radiation, exhaust fans, fume hoods, unit ventilators, etc.); Building automation system (BAS) or Environmental Management Systems (EMS).

  • Lead and develop in-service training programs.

  • Identify, develop and build relationships with third party vendors and service providers.

  • Manage minor construction, repair and furniture projects. May serve as project manager when assigned.

  • Manage self-performed and vendor-provided services including KPI tracking and ensuring that services are performed following SOPs, MBPs (Maintenance Best Practices) and proper documentation of work completed to meet QMS requirements. Maintain performance metrics and productivity metrics to drive process improvements.

  • Partner with support groups to provide input on needed work, coordinate impactful work with stakeholders and represent stakeholders’ needs.

  • Manage the planning, response and recovery operations for emergency situations and disaster recovery.

  • Assist in the development of short- and long-range operating objectives, organizational structure, staffing requirements and succession plans.

  • Supervise staff including but not limited to organize and prioritize work, write/conduct performance reviews, train/develop, and manage work performance.

  • Communicate goals clearly to employees to ensure understanding and success in achieving them.

  • Motivate and inspire employees to do their best work through coaching.

  • Maintain morale and support employee engagement initiatives.

  • Ability to work on a mobile device, tablet, or in front of a computer screen and/or perform typing for approximately 50% of a typical working day.

  • Ability to grasp with both hands; pinch with thumb and forefinger; turn with hand/arm; reach above shoulder height.

  • Ability to work on a computer and phone simultaneously.

  • Ability to use a telephone through a headset.

  • Ability to comply with any applicable personal protective equipment requirements. 

  • Ability and means to travel between (either Madison or Redwood City) locations.

  • Ability to travel 5% of working time away from work location, may include overnight/weekend travel.

Qualifications

Minimum Qualifications


  • Bachelor’s degree in mechanical, electrical or chemical engineering, or related field; or high school degree/GED and 4 years of relevant experience in lieu of degree.

  • 10+ years of related experience overseeing management of facilities departments.

  • 5+ years of experience leading or directing people and/or project teams.

  • 5+ years of experience with BAS (Building Automation Systems, ALC, Ecostruxure, Andover, or similar).

  • 5+ years of experience with CMMS (i.e. Nuvolo, Infor EAM, CAFM).

  • 3+ years of experience with EMS (Amega, REES, Wonderware, or similar).

  • Professional working knowledge interfacing with various regulatory agencies and auditors.

  • Professional working knowledge or previous experience implementing and managing computer integrated facility management solutions.

  • Basic computer skills to include Internet navigation, Email usage, and word processing.

  • Proficient in Microsoft Office.

  • Possession of a valid driver's license, no more than two moving violations in the past 36 months, and no unresolved license revocation or suspension issues. 

  • Authorization to work in the United States without sponsorship.

  • Demonstrated ability to perform the Essential Duties of the position with or without accommodation.

Preferred Qualifications


  • 3+ years of experience Professional working knowledge of experience with CAP/CLIA regulations, in a GMP and/or ISO 13485 environment.

  • FMP, SFP, CFM or similar certification(s).

  • Experience participating in or managing a sustainability effort including opportunity identification, project prioritization, metric development and reporting, employee engagement, policy development, and practice implementation.
